The cost of office accommodation is a significant element of a business's overheads and something that in many cases has to be committed to for several years.
This is due to the nature of lease agreements that will tie a tenant into paying rent for years into the future and so many companies need to take a considered view as to what their business will do in this same timeframe. When there are major up or down turns in the economy this can mean that a company is left with office space that no longer meets their requirements and whilst in some circumstances alternative tenants can be found to take over the rent and other lease commitments in many cases, a company is stuck with the property liability.

With this backdrop, whilst the opportunity to reduce the amount of office space and the associated costs may seem attractive it may be hard to make immediate changes. There are however steps that can be taken to identify potential savings now and plan for greater savings in the future.
1. Identify lease opportunities
The first thing that you need to know is how much office space you have, how much each property is costing and when the leases are due to expire and if there are any opportunities to break the lease early.
If you are only responsible for a single property this may be an easy task, however if your company has a number of properties, not having this information readily to hand can soon lead to problems.
Because it can take many months to find alternative property and organise a relocation you need to be reviewing your property obligations at least every six months although a quarterly review may be more appropriate for larger portfolios. Having all the lease information in a simple format will make this task much easier.
2. Carry out a space audit
Another important benchmark is to understand how many staff you have at each location you occupy. Whilst a space audit can be as complicated as you like, simple is often better. Take some time to decide what you want to measure (cost per person or space per person can be two useful measures) and make the necessary calculations. This can then help you identify better performing properties and ones where you should make changes.
3. Introduce hot desk working
Hot desking is not universally popular but if you need more office space and are constrained by a long lease, desk sharing can help. This is useful if you have a lot of staff regularly out of the office and who need a desk one or two days a week. By sharing desks or providing shared work space you can increase the number of staff who can work from a particular location.
4. Look for inter group opportunities
If your company is part of a larger Group, find out if they have spare office space they could share, or if any other divisions need more space if you can provide surplus accommodation.
5. Move to serviced offices
If you have the ability to move and are not sure how your requirements will change, serviced offices can be cost effective as they provide flexible leases, the ability to increase or decrease office space relatively easily and the benefit of sharing facilities such as meeting rooms.
